Program Associate

The Program Associate is a FTE role, primarily providing support to the Programs team. The core duties and responsibilities revolve around technical support for virtual and physical events and administrative support for leadership and projects. This role reports to the Managing Director.


Responsibilities

Program Support

  • Facilitate all programs-related technical and logistical support for virtual and physical events, including digital platforms hosting, and slide deck creation, and on-site logistical support.

  • Provide communications support for the programs team.

  • Attend programs-related meetings as determined by the Managing Director, tracking timeline and action items through Monday.com

  • Provide on-site logistical support for organizational activities, as needed.

Administrative

  • Support Managing Director with administrative systems including calendaring, email, grants and financial reporting.

  • Attend All Team meetings and retreats.

  • Provide technology support for I/T internally (Slack/Monday.com platforms, Google Calendar, Zoom) for the program team.

Office Support

  • Share Oakland office coordination, serving as an organization liaison for access and site meeting coordination alongside Production Associate.


Qualifications

  • Highly proficient in digital streaming platforms and facilitating virtual events.

  • Highly proficient in creating slide decks in Apple Keynote software.

  • Highly proficient in Digital project management systems (Monday.com/Slack)

  • Highly proficient in Google Suite

  • Knowledge of office management systems and procedures

  • Proven administrative experience

  • Excellent time management skills and ability to multitask and prioritize work

  • Attention to detail and problem-solving skills

  • Self-Starter – you should be able to learn quickly and be resourceful in finding answers to questions or problems you are not familiar with

  • Strong written and verbal communication skills and strong organizational skills

  • Personal qualities of integrity, credibility, and unwavering commitment to the mission

  • Proven ability to handle multiple tasks in a fast-paced, deadline-driven environment


Preferred Skills

  • Proficiency with Apple software, Google Docs, and Macbook systems

  • Strong interpersonal and communication skills; versed in effectively communicating next steps and organizing data
